Privacy Policy
Last Updated: May 2026
EthioArchive ("we", "our", or "us") is deeply committed to data privacy and sovereignty. This Privacy Policy explains how we handle, process, and secure information when you use our digital management platforms.
1. Information We Process
As a provider of enterprise infrastructure, we process data on behalf of our institutional clients. This includes:
- Institutional Data: Documents, scans, text, and metadata submitted for digitization and database indexing.
- Account Information: Administrator contact details, operational logs, and access credentials.
- Telemetric Data: Aggregated system performance and diagnostic metrics to improve OCR models and operations.
2. Sovereign Deployment
All core data processing operations, including vision AI inference models and database hosting, are conducted on sovereign servers deployed within Ethiopia. This strict localized architecture guarantees compliance with national data security frameworks.
3. Document Security
We implement industry-standard cryptographic techniques to maintain chain of custody linking scanned physical documents to relational database queries. We enforce strict access controls and do not access client records without explicit authorization for technical support.
4. Model Training
Our internal Ge'ez and Amharic optical character recognition models are trained on specific historical data sources. We do not use sensitive institutional client data submitted during active deployments to train generalized AI models without explicit, transparent legal consent agreements.
5. Data Retention
We retain institutional data only for duration of service deployment contracts. At conclusion of services, all digital assets are securely transferred back to institution or destroyed in accordance with specified protocols.
